# Ad Platforms

Ad Platforms allows you to set up Audiences that automatically synchronise a Segment of players between Fast Track CRM and external marketing platforms.

## ⚙️ How does it work?

Instead of manually exporting user lists (e.g. CSV files) and uploading them to ad platforms such as Meta, our system streamlines the entire process. Once configured, Segments are synced automatically, removing manual work and reducing the risk of outdated audience data.

Currently, Meta is the only supported Ad Platform, but the system is built to support multiple platforms in the future.

#### :clock1: Daily Synchronisation

By default, each segment is synchronised once per day at **18:00 UTC**. This schedule can be customised based on campaign needs. However, please note that **audience population times may vary on the platform side** (e.g. Meta), and are outside of our control.

#### :compass: Permissions & Navigation

To get access to the Ad Platforms section, you need to have the necessary **Ad Platforms Permissions** assigned to your User.

Once you've got access, you can navigate to Ad Platforms from the main menu: **CRM -> Ad Platforms:**

If you are unable to see the Ad Platforms section and are interested in setting up custom audiences through Fast Track, please contact your Partner Manager.&#x20;

## 🛠️ Create & Manage Audiences

If you wish to create a new Audience, click on the **Create Audience** button in the top-right corner and you'll be prompted to define the following:

* **Name** of the audience
* **Description** of the audience (max. 200 characters)
* **Player Origin** if Origins are enabled on your environment (must select one, selecting multiple Origins is currently not supported)
* [**Segment Fields**](https://www.fasttrack.ai/en/resources/knowledge-base/ft-crm/segments/segment-fields) to determine which users should be included in the audience - This will contain all the segmentation options available everywhere else in Fast Track, this page also includes [a Segment Count and Segmentation Tool](https://www.fasttrack.ai/en/resources/knowledge-base/ft-crm/segments/getting-started#segment-count-and-segmentation-tool).

Once you’ve filled the required audience information, make sure to click the “Save” button in the top-right corner to confirm your changes.&#x20;

After saving, the audience will appear in the list on the **Ad Platforms** page. At this stage, it exists only within **Fast Track**—it has **not yet been created or synced** to any third-party platform. That only happens once the audience is explicitly **enabled**.

#### ✏️ Edit Audience

Audience details can be edited **only before the audience is enabled**. Once an audience has been enabled and created in the third-party platform (e.g. Meta), it becomes locked and cannot be modified. Until then, you can update any of the fields defined during the creation step.

To edit an audience, simply locate it in the **Ad Platforms** list and click on it to open the **Edit panel**. Make your changes and save them using the **Save** button in the top-right corner.

After enabling the audience, edits are no longer possible. If changes are needed, you'll need to delete the existing audience and create a new one.

#### 🚀 Enable Audience

Once an audience has been created, it will appear in the list of audiences on the **Ad Platforms** page. At this point, the audience exists only within Fast Track—it has **not yet been created** in the third-party platform.

To enable the Audience and begin synchronisation, click on the **ellipsis menu** on the right side of your Audience and select **Enable** from the dropdown menu:

What happens when you **enable an Audience**:

* The Audience will be **created in the selected Ad Platform** (currently only Meta is supported).
* The **Segment** will be **synchronised** to the platform.
* The Audience will be included in the **daily synchronisation job**, which runs at **18:00 UTC** by default.

#### ⏹ Disable Audience

If you no longer wish to actively sync an Audience to the Ad Platform, you can disable it at any time.

To disable an Audience, click on the **ellipsis menu** on the right side of your Audience and select **Disable** from the dropdown menu:

**Disabling an Audience** means:

* The audience will be **skipped** by the daily synchronisation job.
* The last uploaded version of the Segment will **remain in the third-party platform** (e.g. Meta) until manually changed or removed on that platform.
* Any campaigns linked to that Audience will continue using the **previously synced user list**.

To re-enable a disabled audience, simply follow the same steps and click **Enable** from the menu. This will resume daily synchronisation and refresh the audience data accordingly.

#### 🗑️ Delete Audience&#x20;

If you want to permanently stop syncing and remove an audience from both Fast Track and the connected ad platform, you can delete it.

To delete an audience, click on the **ellipsis menu** on the right side of your Audience and select **Delete** from the dropdown menu:

When you **delete an Audience**:

* A **soft delete** is performed on our side, meaning the audience is no longer active and won’t appear in the main list, but it is **retained in the database** for possible audit or historical reference.
* A **hard delete** is triggered on the third-party platform (e.g. Meta), which attempts to **permanently remove the audience** from that platform.
* &#x20;The audience will **no longer be available for synchronisation or editing**, and campaigns relying on that audience may lose access to it depending on the platform’s behaviour.&#x20;

Deleting an audience may impact live ad campaigns that rely on it. Make sure to check your campaigns in Meta Ads Manager before proceeding.

#### 📋 Clone Audience

You can clone any audience, including those that have been deleted.\
When you clone an audience:

* The new audience name will start with **Copy of** followed by the original audience name.
* The description, Segment fields, and player origin will be copied exactly from the original Audience.

This allows you to quickly create variations or backups of existing Audiences without starting from scratch.

### 🏷️ Audience Statuses

Each Audience listed in the **Ad Platforms** page includes a status badge indicating its current state.&#x20;

* 🟢 **Created** — The Audience has been created in Fast Track, but **not yet enabled**. No users have been synced, and it does **not yet exist in the ad platform**.
* 🟢⚪ **Running** — The Audience has been **enabled** and created in Meta. It is actively **synchronised daily at 18:00 UTC**. The status icon may appear as **pulsing or flashing green and white** to indicate visually indicate that the audience is active.

This status reflects the audience’s state within Fast Track. We currently do **not track the real-time status** in Meta, and there's no polling to confirm when Meta finishes processing the request to replace the users in the selected audience. As a result, after we send the Replace API request to Meta, the audience may still appear as **“Populating”** until it finishes processing and becomes **“Ready”**. This timing depends entirely on Meta’s internal user matching and processing logic.

* 🟠 **Stopped** — The Audience has been **disabled**, meaning it will be **skipped by the daily sync job**. However, it **still exists in Meta**, and the **previously uploaded user list** can still be used in ongoing ad campaigns.
* ⚫ **Deleted** — The audience has been **deleted from both Fast Track and Meta**. It cannot be re-enabled or restored. The entry may still appear in a future “Deleted” section for reference.

## 🎯 Accessing Your Custom Audience in Meta

Once your audience has been enabled in Fast Track, it will be created in your connected Meta Ad Account. Here's how you can access it:

#### 🔍 Locate the Audience in Meta Ads Manager

1. Go to [Meta Ads Manager](https://www.facebook.com/adsmanager/manage).
2. In the left-hand navigation menu, click **Audiences** (or visit [Meta Audiences directly](https://www.facebook.com/ads/manager/audiences/)).
3. In the Audiences view, you’ll see a list of all audiences connected to your business account.
4. Look for the audience with a name prefixed with **FT -** (e.g. `FT - Registered Players with Zero Deposits`).\
   The description will include an internal reference like `AUD 12345` to match it with Fast Track.

#### 📊 View Estimated Audience Size

To check the estimated size of the audience:

1. In the **Audiences** list, click the **Columns** dropdown (top-right corner of the table).
2. Select **Estimated Audience Size**.
3. The audience list will now show the number of matched users based on Meta's own processing and matching logic.

It may take some time after initial creation for Meta to finish processing the user data and display an estimated audience size.

### 🔄 Data We Sync

For Meta, we send **hashed user data** to ensure privacy and security. The fields we include in the sync are:

* First Name
* Last Name
* Email
* Phone Number
* Country
* City
* Postal Code

While synchronisation is immediate on our side, **audience population in Meta may take time** due to platform-side processing and user matching.
